Documents and reminders
How does Domyko know which documents are missing?
For every client you tick the documents you expect each month: a bank statement, the payroll, invoices from outside KSeF, contracts. Domyko creates the list for each month and ticks items off when the client uploads a file or you mark a document as received.
When do reminders go out?
On the days you set for the office, for example the 3rd, 6th and 8th of the month. The first reminder is an e-mail, the next a text message, and the last one has a link where the client uploads files without signing in. A client with everything in gets nothing.
What files can a client upload?
Photos from a phone (including iPhone HEIC, which we convert to JPEG) and PDF files. From invoices and receipts we read the seller’s tax ID, the number, the date and the amounts, so they are easier to match.
Can I remind a client by hand?
Yes. On the client’s page you send a reminder straight away, outside the schedule. Every reminder stays in the client’s history.
KSeF
What does an office need to fetch invoices from KSeF?
The office’s KSeF certificate and a permission to read invoices, which each client grants the office in KSeF. You send clients the instructions from the portal. If a client cannot grant the permission, a token generated by the client works as a fallback.
How often does Domyko fetch invoices?
Every night, and during the day on request with the “Sync now” button. We fetch only invoices that arrived since the last sync.
What does the client do with an invoice?
They see it in the portal inbox with a PDF preview. They mark what it is for: a category, a business, private or mixed expense, a car, whether it is paid — and can add a note. Invoices without a description come back in reminders.
Does Domyko send anything to KSeF?
No. Domyko only reads clients’ cost invoices. You keep issuing and booking them in your own program.
Accounting program and export
Which programs does Domyko work with?
Any program that reads files. The export has KSeF numbers with the client’s notes (CSV or XLSX) and a ZIP with XML and PDF files. Optima, Rewizor and Symfonia fetch invoices from KSeF themselves, so what they mostly need from Domyko is the descriptions.
Do I have to change how the office works?
No. Booking stays in your program. Domyko takes over collecting documents and descriptions from clients — what happens today over e-mail, phone and messengers.
The office’s clients
How does a client sign in?
With a link sent by e-mail — no password. The link in a reminder lets them upload files even without signing in, and works only for that client and that month.
Does the client see that the portal is Domyko?
The client sees your office name, logo and colours. On the Office+ plan the portal can also run at your office’s domain.
Does the client pay for the portal?
No, the office does. Many offices add the cost to the client’s fee — on the Office plan it is about PLN 3.30 net per client a month.
Security and GDPR
Where is the data stored?
The application and database run on servers in Warsaw, and files in private storage in the European Union. Files are reached only through links valid for a few minutes, issued to a person who has access to them.
Do you sign a data processing agreement?
Yes. The office’s client is the controller, the office the processor and Domyko the sub-processor. The sub-processing terms (Art. 28(4) GDPR) are part of the Terms of Service the office accepts when creating its account.
What happens to the data when I leave?
Before the agreement ends you download an export of all documents and descriptions. After it ends we delete the office’s client data within 30 days, unless the law requires us to keep it longer.
Payments
What does the price depend on?
On the number of the office’s active clients: Start up to 20, Office up to 75, Office+ up to 150. The number of office staff does not matter. Details are on the pricing page.
Will I get an invoice?
Yes, a VAT invoice to the office’s tax ID, issued in KSeF. You pay by card through Stripe, monthly or yearly.
